Overview

The Client Communications Coordinator is responsible for providing a variety of administrative support services to our clients, including assisting our site teams with mass communications creation, coordination, and fulfillment. 

 

This person provides exemplary service in a manner consistent with the values and mission of the Castle Group. He or she performs all responsibilities while demonstrating outstanding customer service skills representative of Castle Royal Service as it relates to this function. This includes working interdepartmentally, as well as, with our external clients.

Responsibilities

  • Coordinates and schedules mass communications.
  • Generates mass communication correspondence for our Associations (e.g. meeting notices, agendas, memos, ballots, proxy)
  • Understands Florida Statutes 718, 719 and 720, specifically requirements for posting and distributing communication and notices.
  • Reviews and analyzes Association documents.
  • Proofreads team members’ correspondence.
  • Collaborate with teammates as needed.
  • Assist Property Managers with questions and requests.
  • Supports Production with tasks, as needed.
  • Meet service level agreements, support process improvement, and propose alternative solutions.
  • Ensures all safety precautions and procedures are followed while performing duties.
  • May be assigned other duties and responsibilities by the Manager.

· High school diploma or equivalency required.

· Associate’s degree with a concentration in business preferred

· 2+ years of administrative experience

· CAM license is desirable but not necessary

 

Skills and Abilities:

· Excellent verbal and written communication skills to receive and exchange ideas and information.

· Excellent interpersonal and conflict resolution skills.

· Must possess high attention to detail and organizational skills.

· Strong analytical and problem-solving skills.

· Strong working knowledge of customer service principles and practices.

· Ability to prioritize tasks and to delegate them when appropriate.

· Ability to act with integrity, professionalism, and confidentiality.

· Proficient with Microsoft Office Suite or related software.

· Ability to type 40 WPM with accuracy.

· Ability to work independently, as well as in a team environment.

· Ability to work extended hours, most likely to be needed during the months of August-December.

 

Physical Requirements:

· Able to work under pressure, maintain composure, and utilize good judgment during emergency/difficult and stressful situations.

· Ability to lift 15lbs. following appropriate safety procedures.

· Ability to walk and work in an upright standing position for long periods of time.

· Extensive use of fingers for typing and visual use of the computer monitor.

· Handle, grasp, feel objects and equipment.

· Reach with hands and arms.

· Repeat various motions with wrists, hands and fingers.

· Ability to hear, understand and respond appropriately to verbal requests made in person and over the telephone.

· Ability to respond verbally in an understandable, professional manner in person and over the telephone.

· Ability to stoop and bend.

Working Conditions:

The majority of work will be completed indoors in a temperature-controlled environment with little to moderate noise levels.
