Overview

The Event and Partnerships Manager position will lead the planning, execution, and optimization of high‑impact events and strategic partnerships that support organizational goals and brand visibility. This role owns the full event lifecycle from concept and budgeting to logistics, on‑site coordination, and post‑event reporting ensuring all events are executed on time, within budget, and aligned with organizational goals. 

This individual manages key vendor and partner relationships, maintains approved vendor resources, and leverages industry knowledge to elevate event quality and ROI. With strong communication, process driven, high attention to detail and interpersonal skills, the Events and Partnerships Manager collaborates cross‑functionally with Business Development, Marketing, Operations, Human Resources, and Leadership to ensure seamless event execution and strategic alignment. 

The role requires strong organizational capabilities, the ability to manage multiple concurrent events, and proficiency with systems such as Salesforce, event‑management platforms, project‑management tools, and Square. The Events and Partnerships Manager also applies data‑informed decision‑making to event strategy, vendor selection, and partnership development continuously seeking opportunities for innovation, improvement, and enhanced audience engagement. 

Key responsibilities include leading vendor expos, as well as ensuring all operational events are appropriately sponsored by the trusted vendor network. Creativity, process driven, problem‑solving, attention to detail, and a collaborative mindset are essential to success in this role.  

He or she performs all responsibilities while demonstrating outstanding customer service skills representative of Castle Royal Service. 

Responsibilities

Event & Program Support 

  • Lead vendor expos (with smaller events handled by the Business Development team). 
  • Lead home office annual networking event. 
  • Plan and execute all other events including logistics, budgeting, and reporting. 

Vendor Oversight 

  • Manage vendor relationships, attendance and participation for Business Unit Leader (BUL) meetings, Property Manager (PM)/Business Unit Leader (BUL) quarterly events, Teammate Appreciation Night (TANs), sponsorship opportunities, and other initiatives. 

Systems & Tools 

  • Maintain and utilize Salesforce for event and partner tracking. 
  • Act as Square account owner for event-related transactions or check‑ins. 
  • Use Monday (a project management platform) to track event related tasks and communication. 
  • Use Eventbrite (an event-management platform) to manage, track, and report on event success and manage communication. 

Administrative & Operational 

  • Prepare event briefs, debriefs, schedules, negotiate contracts and communication plans. 
  • Produce reports on event outcomes, attendance, budgets, and vendor performance. 

Travel 

  • Travel as needed to support onsite execution of expos and partner engagements.

Qualifications

Education and Experience 

  • Bachelor's degree in hospitality management, event management, communications, business administration, or related field strongly preferred.   
  • 3 years of professional experience in:  
  • Event planning and event lifecycle management, including concept development, budgeting, logistics, vendor coordination, and post‑event analysis. 
  • Vendor and partnership management, with demonstrated ability to build, maintain, and optimize strong vendor and partner relationships. 
  • Budget planning and oversight, including negotiating contracts, managing event P&Ls, and maximizing ROI. 
  • Experience executing large‑scale events, expos, conferences, trade shows, or multi‑site events. 
  • Experience managing multiple concurrent events throughout the year (20+ annually preferred). 
  • Experience collaborating cross‑functionally with teams such as Marketing, Business Development, Operations, Human Resources, and Senior Leadership. 
  • Experience supporting or producing on‑site events, including travel set‐up, live execution, and breakdown. 
  • Special consideration: Candidates with hospitality industry experience, including hotels, catering, venue management, or guest services. 

Skills and Abilities 

  • Proficiency with Salesforce (or other CRM platforms). 
  • Experience using event‑management platforms (e.g., Cvent, Eventbrite, Splash, Bizzabo). 
  • Proficiency with project‑management tools (e.g., Asana, Monday.com, Trello, Smartsheet). 
  • Familiarity with Square or other point‑of‑sale/payment tools. 
  • Strong skills in Excel, PowerPoint, or analytics tools for event reporting, ROI measurement, and vendor assessment. 
  • In depth knowledge of how to build an event budget, with a focus on profitability 
  • Comfortable using digital communication platforms, shared drives, and collaboration tools (Teams, SharePoint, Slack, etc.). 
  • Demonstrated ability to manage tight timelines, shifting priorities, and multiple projects simultaneously. 
  • Strong communication and negotiation skills. 
  • Experience building event processes, workflows, run‑of‑show documents, and operational guidelines. 
  • Proven track record of using data‑informed decision‑making to improve event strategy, vendor selection, and attendee engagement. 
  • Experience crafting and managing sponsorship programs or partner deliverables. 
  • Creative problem‑solver with the ability to troubleshoot issues in fast‑paced, high‑pressure environments. 
  • Strong contract negotiation skills, including:  
  • Comparing vendor proposals and evaluating cost vs. value. 
  • Negotiating pricing, payment schedules, scopes of work, and service guarantees. 
  • Understanding insurance requirements, indemnification, and risk‑mitigation terms. 
  • Ensuring compliance with organizational purchasing and procurement policies. 
  • Strong customer‑service mindset aligned with Castle Group’s Royal Service standards.

  • Visual ability correctable to 20/20. 
  • Ability to respond verbally in an understandable, professional manner in person and over the telephone. 
  • Ability to stoop and bend. 
  • This position requires frequent travel, more than 60% travel. Most travel is inside the local area. 
  • Overnight travel or travel by plane on occasion. 
  • Ability to work extended hours and weekends if needed.
